Every AI Workflow Is Built From the Same Six Blocks
Automations look complicated from the outside. Inside, almost every one, from a simple alert to an AI-powered sales system, is made from the same six blocks. Once you can recognise them, you can read any workflow, plan your own and spot why one is failing.
The six blocks
- Trigger: the event that starts the workflow, such as a new email, a form submission, a new row or a set time each day.
- Filter: a check that decides whether the workflow should continue. Anything that does not meet your conditions stops here.
- Action: a task the workflow performs, such as sending a message, updating a record or creating a document. Most workflows chain several actions.
- AI step (the intelligence layer): where an AI model reads, classifies, extracts or writes. You steer it with a prompt.
- Formatter: a clean-up step that reshapes data so the next step can use it, such as removing line breaks or pulling out one value.
- Output: the finished result, such as a message sent, a record updated or a document delivered, usually with a log so you can check what happened.
Example: a support inbox
Imagine you want help with customer emails.
- Trigger: a new email arrives in the support inbox.
- Filter: continue only if the email mentions an urgent problem.
- AI step: read the email, work out the issue and draft a reply.
- Formatter: put the draft into the format your email tool expects.
- Action: save the draft for approval and alert the manager in chat.
- Output: log the case as handled in your tracker.
The same six blocks can power a lead qualifier, a booking assistant or a reporting system. See how they fit together in our lead qualification workflow.
The apps you connect
A workflow builder rarely works alone. It connects to other tools:
- Spreadsheets and databases: Google Sheets, Airtable or SQL for storing and reading data.
- Communication: Gmail, Slack and WhatsApp for messages and alerts.
- AI models: OpenAI, Gemini and others for the thinking step.
- Scheduling: Google Calendar or Calendly for meetings.
- Forms: Tally, Typeform or website forms to capture input.
Choosing a workflow builder
Pick based on the apps you need, your team’s comfort with technical tools, and budget. We build with n8n, Make.com and Power Automate, and choose per project. Browse our workflow automation services.
Tip: draw your workflow on paper using the six blocks before you open any tool. It exposes missing steps early.
Common mistakes
- No filter, so junk data flows through the whole workflow.
- No error handling, so one failed step silently breaks everything.
- Putting everything into one giant workflow instead of small, testable ones.
- Vague AI prompts that give inconsistent results.
Frequently asked questions
What is a workflow builder?
A workflow builder is the tool where you design an automation visually by connecting steps. Make, n8n, Zapier and Power Automate are common examples.
Which is best: Make, n8n or Zapier?
It depends on your needs. Zapier is often chosen for quick, simple setups, Make for visual and flexible multi-step workflows, and n8n for teams that want more control, including self-hosting. Check current features and pricing.
What is the AI step in a workflow?
It is a step where an AI model reads input, such as an email, and produces a decision, a summary or a draft that later steps use. You tell it what to do with a clear prompt.
