Not Every Enquiry Deserves a Call: How to Automate AI Lead Qualification

By Sage World Automate Team4 min read

Every business gets enquiries that are not a good fit: wrong budget, wrong service, wrong place. Calling all of them wastes hours, while replying slowly to the good ones loses them. AI lead qualification checks every enquiry the moment it arrives, answers the good ones quickly and keeps your team’s time for real prospects.

The problem with manual qualification

Without automation, someone has to watch for new enquiries, read each one, research the company, decide if it is worth pursuing, make contact and then write a proposal. That is repetitive work, and the slower it is, the more leads cool off. It is also inconsistent: two people can judge the same enquiry differently.

Stage 1: capture and qualify

  1. Capture: a short form on your website or landing page collects name, contact details, company, budget and a description of the need. Keep it short, because long forms reduce submissions.
  2. Store: each submission is saved as a row in a database or sheet such as Airtable or Google Sheets, or in your CRM.
  3. Qualify: an AI step reads the answers against your written criteria and marks the lead qualified or not, with a short reason.
  4. React: only qualified leads trigger the next steps: a personal email with your booking link, and an alert to your sales team in Slack or WhatsApp.
  5. Log: record the time you made contact on the same row.

For a travel business, the criteria might be group size, travel dates, destination and budget range. Learn how the pieces fit in our workflow building blocks guide.

Stage 2: add a voice follow-up

You can go a step further and have an AI voice agent phone qualified leads to ask a few extra questions, then store the call summary and whether the lead wants a proposal. Handle three outcomes: the lead answered and is interested, answered and not interested, or did not answer. For the last case, fall back to an email with a booking link. Read our guide to AI voice agents before using calls.

Stage 3: draft the proposal

Once a lead is interested, the workflow can combine the form answers, the call summary and a little research on their company, and ask an AI model to draft the proposal sections: their goals, recommended services and implementation plan. These fill a template in a document or e-signature tool, which is sent to the lead. The tool can notify you when it is opened or signed, and the workflow records the status on the lead.

Recommendation: have a person review each proposal before it is sent, especially pricing and scope.

Frequently asked questions

What is AI lead qualification?

It is using AI to check each new enquiry against your criteria, such as budget, location, service needed and timing, and mark it as qualified or not so your team only spends time on good fits.

Can the whole sales process be automated?

Much of it can: capture, qualification, first reply, scheduling and a draft proposal. We recommend a person reviews proposals and handles negotiation and closing.

Which tools do I need?

A form or website enquiry source, a database or CRM, a workflow builder such as Make or n8n, an AI model, and optionally a voice agent and a document or e-signature tool.
